What It Does

The Disable Gallery Access setting is a checklist-level control that restricts how auditors can add photos during mobile inspections. When enabled, auditors can only capture new photos or videos using their device camera in real-time—they cannot select existing images from their device gallery.

This feature is configured in the Settings tab of the Checklist Editor and applies to all audits conducted with that specific checklist.

Why Use This Feature

Disabling gallery access helps organizations maintain:

  • Audit Integrity: Ensures all photos are taken during the actual inspection, not uploaded from previous events

  • Compliance Requirements: Meets regulatory standards that require real-time documentation

How to Enable

  1. Navigate to Checklists from the left-hand menu

  2. Select the checklist you want to configure or create a new one

  3. Click on the Settings tab at the top of the Checklist Editor

  4. Scroll down to find Disable Gallery Access

  5. Toggle the switch to ON (blue)

  6. The setting is saved automatically

  7. Publish your checklist to apply changes to future audits

What Happens When Enabled

For Auditors Using the Mobile App:

When an auditor attempts to add media to a question during an inspection:

Before (Gallery Access Enabled - Default):

  • Tap media button → Choose between "Take Photo/Video" or "Choose from Gallery"

  • Can upload any existing photos or videos from device storage

  • Can select multiple images at once from photo library

After (Gallery Access Disabled):

  • Tap media button → Only "Take Photo/Video" option appears

  • Camera opens immediately for real-time capture

  • Gallery/photo library option is completely hidden

  • Must capture new content on the spot

Highly Recommended For:

  • Quality control checks where current conditions must be documented

  • Hygiene audits requiring proof of current state

Consider Leaving Disabled For:

  • Pre-audit document collection (permits, certificates, etc.)

  • Reference photo comparisons (before/after scenarios)

  • Training or demonstration purposes
